Admin Task Automation

Manual tasks can be extremely time-consuming and tedious when they need to be performed on a regular basis.  This section of the evaluation guide will showcase some of the different automated jobs available within sapio365. By combining common tasks into an automated job that can be executed in real-time or schedule by date/time, an IT admin group can save lots of time every week.

New User Onboarding

 There is already an automated job in sapio365 to onboard new user accounts and perform all the necessary tasks to get them added to the correct Groups, Teams Sites, and set all the appropriate Licenses and Permissions such as MFA Settings. This is a two-step process as outlined below. 

Step 1: Select one or more users to act as a TEMPLATE account for the onboarding process.

 From any of the ‘Users’ data views, select an account for your template.  Then click on the ‘User Onboarding’ entry in the Jobs Window on the left-side navigation pane.  This will effectively create a listing of Groups and other details about those selected accounts to mimic the same for the new users.

Scroll through the Onboarding menu and choose all the settings that meet your requirements for onboarding the new users.  It is possible to use an import Excel CSV file with the names and details of the new accounts. Then select ‘OK’ to perform the onboarding process steps.

Step 2:  Review completion job

After the completion of the onboarding tasks, you will be able to access a complete LOG of the activities for review and reference.

User Offboarding

There is also a pre-configured automation job for offboarding a user account.  From within a ‘Users’ data view you can select one or more account entries and then click on the ‘User Offboarding’ entry in the Jobs Window on the left-side navigation pane. This will open a new window allowing you all the selection of activities to perform during the offboarding process, including Blocking Access, Resetting Passwords, and configuring their mailbox and removing assigned licenses.
